Tradesfluence: Picture this. You can't get to it. Here's the thing though. They just hung up and dialed the next plumber on the list. And you will never know that job existed. That's what we're talking about today. Not some fancy new funnel or a clever ad. Just the dumbest, simplest leak in your business, the phone call you didn't answer, and what to do about it. It's a small piece of technology, really, but it can be the difference between catching a job and never even knowing it was there to catch.

Tradesfluence: Their AC died in the middle of July. That's an urgent problem, and urgent problems do not sit around waiting politely for you to finish your current job and call back. If you don't pick up, that homeowner is already dialing the next number. And if that next guy answers, or even just texts back fast, the job is gone. This is different from a lot of other businesses. We miss a call, we might be out hundreds or thousands of dollars for that one job, plus whatever repeat business or referral would've come from it down the road. In this business, speed isn't a nice extra on top of good work. Once someone's got your number pulled up, speed is most of the game.

Tradesfluence: So here's the fix, and it's a lot simpler than people expect. A missed call text back system hooks into your business line and watches for calls that go unanswered. When that call gets missed, the system automatically sends a text back, usually within seconds. Something simple. Thanks for calling, sorry we missed you, we'll get back to you shortly. Some setups will even include a link to book a time or send over job details. What matters is the homeowner on the other end gets something instead of nothing, a quick signal that they've been seen and somebody is already working on getting back to them. Silence reads as nobody cares, next. A text, even an automatic one, reads as somebody's there and they're coming back to me. People get a lot more patient once they know they haven't been ignored. Now I want to be straight with you here. This does not replace answering the phone. But for all those calls that would've gone straight to voicemail and been forgotten by both of you, this gives you a second shot instead of a silent loss.

Tradesfluence: Here's where I see businesses mess this up constantly. They set up the text back, feel good about it, and then nothing happens after that. The text says we'll call you back shortly, but nobody actually calls back shortly, because nobody wrote it down anywhere. That missed call turns into one more unread thread buried under the rest of the day's noise, and the lead just dies quietly. This is where a CRM comes in. Every missed call lands in a list with a timestamp, so you or whoever's answering your phones can look at it and immediately see who still needs a callback and who's already been handled. Good systems let you tag someone as booked, quoted, or not interested, so nothing just sits there in limbo for a week while you forget it exists and the trail goes cold. And here's the part people underestimate. A lot of trades leads do not close on the very first contact. A short follow up text or call the next day is often the difference between a booked job and a lead that just quietly goes cold on its own. Follow up isn't some bonus step you do if you have time.

Tradesfluence: If you're out there looking at this kind of software on your own, here's what I'd actually check before handing over a credit card. Second, can you customize the message so it actually sounds like your business and not some generic robot greeting. Fourth, does it work with the business number you already have, or does it force you to switch everything over to something new. Some of these tools get sold as standalone software, just this one piece on its own. Others get bundled into a bigger marketing setup. We build missed call text back right into our CRM and follow up system at Tradesfluence, alongside things like review requests and the local content we write, so it's not some separate thing you have to go configure by yourself on a Sunday night.

Tradesfluence: Look, you cannot always answer the phone, and honestly, you shouldn't have to drop a wrench every single time it rings. That's not realistic and it's not how this job works. But a missed call text back setup gives that caller something better than dead silence while you finish what you're doing. And a real follow up system behind it is what actually turns that first automatic text into a callback, instead of just another dead thread nobody ever looks at again. I'm not going to sit here and tell you this means you land every job that calls your number. That's not how any of this works and I'd be lying if I said it was. What I can tell you is together, these two pieces give you a better shot at catching work you'd have otherwise lost without ever even knowing the call came in.

Tradesfluence: That's really the whole episode. Answer the phone when you can, and when you can't, don't let that caller sit there in silence feeling ignored. Or go look at our plans over on the pricing page on our website and see what fits. Thanks for spending this time with us on The Booked Solid Podcast.
